Present:  Virgil Goodin, Tom Priester, Jeanne Pascale, Marsha Goodin, Louise Bolin, Joyce Roach, Wanda Vonderahe and Art Schneider.  

Not Present:  Hazel Stone and Randy Richards.

Call to Order:  Meeting called to order at 2:35 p.m.  Rev. Tom Priester offered a prayer.

Any Items to Be Added to the Agenda:  Art requested holiday parade be added.
 

OLD BUSINESS

·         Minutes from September Board Meeting:  Virgil noted that Marsha was not listed and that she should be listed as “excused absence” as she missed the meeting on food pantry business.

Tom moved and Jeanne seconded that minutes be approved with the correction.

·         Treasurer’s Report:  Current checking balance is $1,174.78 as of September 30, 2009.  Current savings balance is $4,544.31 -- including $6.02 interest.  In addition, Certificates of Deposit total $16,554.18 -- which includes $54.18 interest.

Art said he appreciated Tom’s initiative in getting board support to invest monies in securities at the higher interest rate.
September IncomeTom reported income of $2,092. He said the income included Emergency Food and Shelter Grant (EFSG) grant funds of $1,000, $445 and $445 (total $1,890).
September ExpensesTom reported expenses of $3,235.65. Tom also noted that three expense checks have not cleared. EcoLab expenses of $90 for three sprayings were noted. Other major costs were truck fuel at $200 and groceries at Dave’s Country Mart for $2,784.54. Joyce noted that EcoLab’s bill is being sent to the Boonville Daily News and that the NHN address needs to be sent the bill.
Printer Cartridge (Paper) for TomPer September board approval, the expenses also included $22.47 to reimburse Tom for paper and ink cartridge.
Art moved the treasurer’s report be accepted as presented and Jeanne seconded. Passed unanimously.
 

·         Future CD:  Tom suggested with more than $3,000 income expected in October that the money is placed in a CD.  He then made an official motion. Wanda seconded.

Art requested that this be delayed until after the Wal-Mart auction. He noted there is some refrigeration equipment and tables and possible other equipment that the board may wish to purchase. 

Marsha said the present tables bend with some of the heavy boxes of food.  If tables at Wal-Mart would hold a heavy load, it was suggested that they be purchased. If not, it was suggested the current tables be covered with plywood. Art asked if the table legs are sturdy. He was told they are.

Tom amended his motion and Wanda agreed to the amendment. The amended motion is: The food pantry board authorizes the president and the treasurer to use their judgment and purchase the equipment needed by the food pantry and if $3,000 remains after the auction to invest it in a CD. Motion passed unanimously.
 

·         Chamber Booth September 24 Festival of Lights:  Art asked if the food pantry will receive funds from the chamber from its Festival of Lights fundraising effort for both food pantries. Randy has the check. It will be reported in October’s income. The amount was more than $400.
 

·         Gas Debit Card Status:  Tom reported that he has secured two debit cards -- one for himself and one for Virgil. The limit for each of them is $200 in a day -- up to $100 for gas and $100 for cash.
 

·         Donated Food Weight Reported in September:  Jeanne reported 1,282 pounds were donated.
 

·         Total Hours Donated in September:  Jeanne reported 250.75 hours plus 73.75 hours that were left off August’s tally -- an additional 324.5 hours.
 

·         NHN Food Distribution in September:

o   Total families assisted:  211   Total people served:  496

o   Thursday distribution:  48 families

o   Tuesday distribution:  77 families

o   Saturday distribution:  31 families

o   Total families on Supplemental Nutrition Education Program (SNAP) formerly the food stamp program: 118 families

o   Total families receiving TANF:  13 families

o   Marsha noted that the recent implementation of USDA restriction requiring Social Security identification reduced both the number of families and number of children in those families. She and Virgil both emphasized that if there are other circumstances that make it impossible to secure a Social Security card that people are not turned away.
 

·         Update on New Free Computer Program Provided by Sedalia Open Door Food Pantry:  The program is ready for testing. Scheduling a time for testing with Virgil is the issue. 
 

·         Cross-Training and Records of Where Things Are, People Contacts:  Still no information from Tom or Virgil.
 

·         Food for a Spell Fundraiser -- October 24, 2009 --  Open to Those Age 16 and Older:

o   Prizes:  Joyce has collected 30 attendance prizes.
 

o   Setting up at Country Mart (Boonville High School): Virgil has not gotten hold of Newt McGuire.
 

o   Set Up Spelling Questions: Sue Burns is ready.
 

o   Sending Letters to Potential Participants:  Art reported his office sent out 93 letters October 1. Virgil asked if a letter had been sent to Charlie Melkersman. The Nordyne human resources director said he had not received a letter and had Nordyne cut a check to sponsor two contestants. Art said he did not have the list that Virgil provided and could not answer. He will check.  (AFTERMATH:   The name was not listed. Has added Charlie Melkersman, Nordyne Inc., 2501 Boonslick Drive, Boonville, MO  65233).
 

o   Food Pick Up:  Marsha and Virgil. It also was noted that the Boonville High School will undertake a door-to-door drive the 24th for the food pantry. Marsha noted trucks or vans are needed to follow the kids as they knock on doors and pick up food donations. Youth will arrive at Country Mart at 8:30 a.m.
 

o   Advertising:  Darlene Kraus in Art’s office designed flyers to solicit donations and to recognize those who donated, Art said. In addition, a news release was sent October 9 and a second release will go out October 21 to KWRT and the Boonville Daily News.
 

o   Entertainment:  Tim has arranged.
 

o   Thank You’s: Information (names and addresses) needs to be provided to Jeanne on sponsors and donors for thank you notes.
 

o   Plaques:  Virgil has not ordered. Discussed that certificates should be satisfactory. Virgil thought championship winners should receive a plaque. He will try the company that took over Reagan’s. He also said the New Franklin person from whom he purchased plaques in the past is no longer listed in the phone book.
 

o   Reminder:  Need to keep detailed logs to be put in the “What if…” file for future years. Art reminded committee members we need names and phone numbers of those contacted and those who turned NHN down for next year.
 

·         Barron Fuller -- Isle of Capri (Potential Board Member): Art did not contact him.
 

·         Servicing of Truck Update:  This is to be handled by a contact with Frank Potter Trucking. Randy has the contact. Board discussed that this sort of problem needs to be corrected ASAP. It already has been three months since discussed and not been repaired. Virgil will talk with Randy and arrange to get the truck in for servicing of the electrical short.
 

·         New Board Member Proposed:  Robert Stinnett was not here. Art said he was expecting him to attend. (After the meeting Art received an e-mail from Robert noting that the board information was sent to an e-mail address he rarely checks and that he did not find it until after the meeting. He will be at the next meeting).
 

·         KOMU-TV 8 Cares for Community:  Virgil said he contacted KOMU-TV and did not receive a response. Art asked the contact. He was told Sarah Hill. Art will follow up. (She responded to Art’s e-mail and Virgil has been sent possible times and dates to do the telecast.)
 

 

NEW BUSINESS

·         Walk-in Cooler and/or Freezer Food Bank:  Last month the food pantry discussed freezers and coolers and Art presented some he found online. After the meeting he sent out the URL for a Craig’s list cooler. Since then, the Central Missouri Food Bank Pantry in Columbia has moved and has a built-in walk-in cooler. Several units of refrigeration equipment plus tables and chairs were not moved. The food bank held a drawing for member agencies that applied and Virgil reported the NHN food pantry had won an American panel walk-in freezer (70 inches wide by 131 inches deep and 104 inches tall). It has a 220 volt plug. It needs to be removed by October 27.

Virgil will try to reach Randy to see if he has access to a crew to dismantle the walk-in. If not, he is to contact Art Schneider and Art will try to secure assistance through the Emergency Management, Nelson Memorial, Knights of Columbus or St. Vincent DePaul Society in Columbia or through news media. Randy was reached Thursday morning and has arranged for two people to dismantle it Saturday at 9 a.m.
 

·         Holiday Parade:  Art said the Extension 4-H youth assistant asked him about 4-H once again providing staff to collect canned goods at the parade. It will be held December 5. Start up time has not been provided by the Jaycees.  Art was asked to contact the youth assistant and let her know the pantry would appreciate 4-H assistance. He also will copy the e-mail to Marsha for follow-up on starting time.

Wanda asked about a flyer last year. Art said he thinks the Extension Center had developed a flyer.  He will check and see if it needs to be updated and provide to 4-H for dissemination at the parade.
 

·         Thursday Distribution Time Change:  Virgil said most of the 31 families coming for Thursday food came the last hour. He asked the board to change the distribution hours -- beginning in December -- to 6:30 p.m. to 8:30 p.m. Art moved and Joyce seconded that the hours be so changed. Passed unanimously.
 

·         Share the Harvest:  Tom asked if the food pantry had contacted the food bank about participating in this year’s Share the Harvest that provides venison donated by hunters.  Virgil said the pantry had not made contact. Tom said he will contact the food bank.

·         KWRT Call-In:  Virgil said the board needs to contact KWRT each day before the Food For A Spell to remind listeners of the need. He and Marsha also noted volunteers and others have commented that they do not see or hear other board members and question how actively the members are involved.
