Neighbors Helping Neighbors (Food Pantry) Present: Virgil Goodin, Tom Priester, Jeanne Pascale and Art Schneider. Not Present: Hazel Stone, Joyce Roach. Louise Bolin. Excused Absences: Randy Richards, Wanda Vonderahe, and Marsha Goodin. Meeting called to order at 2:45 p.m. Virgil Goodin opened the meeting with a prayer. Any Items to be Added to the Agenda? Tom asked to add Wal-Mart shelving. Consensus to approve.
Old Business Minutes from June Board Meeting: Tom moved and Jeanne seconded that the minute be accepted as written. Motion passed unanimously.
Treasurer’s Report — Tom reported that in addition to $14000 in CDs, the checking account balance has $1932.43, and a savings account balance of $4538.29. Art moved treasurer’s report be accepted. Jeanne seconded. Motion passed unanimously.
Cash Expenses for May — Tom reported May expenses were $384.40.
Cash Income for May - Tom reported an income of $127, which was solely from monthly debits. Tom said he will be receiving $2500 in donations and suggested that the pantry buy a six month $2500 CD.
Art moved that Tom be
authorized to do this and Jeanne seconded. Motion passed unanimously.
Gas Credit Card Status — Tom reported that he has an application for a BP card but has not looked into a card for Love’s. Tom also is looking into a card from AT&T-- a Visa card. Tom is looking into AT&T to directly deduct payment for the pantry cell phone.
Donated food weight reported in June-Jeanne Jeanne reported poundage for June is 1496.40. Of that amount, 1037.30 lbs. are from two pick ups from Wal-Mart in Sedalia at the very end of May. . Total Hours donated in June — Jeanne reported 408.25 hours were donated.
NHN Food Distribution in May, June, July — Virgil reported the following: MAY Total families assisted: 340. Total people served: 976. Thursday distribution: 103 families. Tuesday distribution: 128 families. Saturday distribution: 48 families. Total families on Supplemental Nutrition Education Program (SNAP), formerly the food stamp program: 262 families. Total families receiving TANF: 17 families. JUNE Total families assisted: 355. Total people served:1052. Thursday distribution: 102 families. Tuesday distribution: 120 families. Saturday distribution: 74 families. Total families on Supplemental Nutrition Education Program (SNAP), formerly the food stamp program: 162 families. Total families receiving TANF: 18 families. Exterminator Chemical and Services Update — Art said he checked with Todd Lorenz, Extension agronomist, on the two chemicals used and they are standard and rather benign compared to other chemicals.
Update on New Free Computer Program Provided by Sedalia Open Door Food Pantry — Art reported the program has been received. Robert Stinnett is in the process of installing the program. Art had hoped to have a report on its readiness by today, but has not heard from Robert. Virgil asked if data could be entered at the same time from two computers and then integrated. Art said he did not think so, but would talk with Robert about this option.
Cross-Training and Records of Where Things Are, People Contacts. Still awaiting information from Virgil and Tom.
Food for a Spell Fundraiser — Virgil noted that with so few board members present, it is not possible to allocate positions. He emphasized that all board members need to be present in August. Art will separately e-mail /snail mail board to be present. If they are unable to attend, Virgil needs to be informed.

Lorraine Hemphill Double Sided Freezer Donation - Pick-up time will be established with the Realtor. It is to be picked up this week.
Request Board Approval to Allow Extension Support Staff to Gather Address Data for CARES - Art noted that for M. U. CARES, address data is needed to develop map showing location of families served throughout county and poverty zones. Virgil has a full plate. Art said he has a part-time secretary who will be caught up with office needs this week. He talked with Virgil earlier and Virgil suggested bringing it to the board for approval. Art submitted a confidentiality agreement that would be required (See Below). After data is sent to M.U. CARES, it will be erased.
Confidentiality Agreement I have been informed that any data entered for the Neighbors Helping Neighbors food pantry is confidential. I further agree that the data that I enter may not be shared with anyone but the food pantry board on an as-need basis. I also have been informed that violation of this agreement will result in automatic job termination. Motion passed unanimously. Discussion on Board Meeting - This was added to agenda. Virgil discussed possible change on meeting date or time because board attendance has been low. He also noted efforts to enlarge the board also are needed. In a discussion with those present, Tuesday would be a suitable alternative to the fourth Monday. Third Monday is a conflict for Virgil. Art noted he could attend on Tuesday the last two weeks of the month. Board will be asked about date preference via e-mail/snail mail by board secretary. Wal-Mart Shelving - Tom has talked with the management at the current Wal-Mart store. When Super Wal-Mart opens, the shelving in the old building will be sold or donated. He suggested that the shelving would hold more products at the pantry than the existing structure of tables with boxes underneath. Virgil will look at the shelving and compare what it would hold with the current table system. Virgil noted that 30 grocery carts are particularly needed and that if Wal-Mart has carts available, the pantry would be very interested. He also noted that the pantry continues to need more refrigeration—freezer and refrigerator. Tom also noted that Virgil is applying for a $3000 donation from Wal-Mart.
